Insurance Operations Specialist

SUMMARY: The Operations Specialist is responsible for maintaining and optimizing the insurance agency’s systems, producing detailed agency reporting, and proposing measures to enhance services and procedures. 

Duties and Responsibilities:

System Management and Reporting

  • Manage and maintain the agency’s insurance systems to ensure efficient operations and identify and resolve any system issues or discrepancies
  • Collaborate with IT and external vendors to implement system updates and improvements
  • Produce comprehensive agency reports on performance, compliance, and other key metrics
  • Regularly analyze data to identify trends and areas for improvement and present findings and recommendations to senior management

Service and Procedure Improvement

  • Assess current services and procedures to identify inefficiencies or opportunities for enhancement
  • Develop and propose new quality standards or modifications to existing procedures to improve agency operations
  • Recognize criteria for escalation when issues are found and discuss issues along with proposed solutions with management.
  • Implement new changes and monitor effectiveness while embracing change management principals to ensure buy-in and adoption by agency employees

Training and Compliance

  • Conduct training for new staff on agency systems, procedures and compliance requirements
  • Provide ongoing training and support for existing staff to ensure they stay up-to-date with best practices and regulatory changes
  • Develop and update training materials and documentation

Education and/or Experience:

  • High school diploma or equivalent required
  • Bachelor’s degree in business administration, operations management or related field preferred
  • Minimum of 3 years’ experience in insurance agency operations or a related role
  • Minimum of 1 year agency management systems experience, Vertafore experience strongly preferred
  • Proven experience in training and development
  • Strong critical thinking and problem-solving skills
  • Strong organizational and multitasking abilities
  • Excellent listening and collaboration skills
  • Strong verbal and written communication skills
  • Demonstrated ability to manage multiple projects within deadlines
